When can I visit the property?

Greengate Ranch & Vineyard is a working vineyard and active events venue. Because of the nature of our busines, all visits to the property are arranged by appointment.  It is our utmost priority to protect the privacy and safety of our guests and be respectful of their time while checked into the homes on property.  We also want to make sure that when you visit, a member of our event team is available to open up the spaces on the ranch, provide accurate information, and assist with transporting you to the many areas on the ranch.

How many people do the houses sleep?

The Carriage House has three bedrooms, all with queen sized beds. The Carriage House also has a queen sized pull out bed, in case you need the extra overnight space. The Ranch House has six bedrooms, all with king sized beds. In addition, two deluxe queen sized air beds are available upon request. The Vineyard Cottage also has three bedrooms, all with king sized beds.

In total, we have 12 bedrooms on site (with flexibility to accomodate six more guests).  It will depend how guests are paired up in bedrooms as to how many people can stay on site.

We are happy recommend additional hotel and VRBO accommodations within 10 minutes of the Greengate property.  We do partner with Dolphin Bay Resort on accomodations at a discounted rate for our lovely couples and their guests.

How many guests can Greengate Ranch accommodate for events?

We use a range of 50 – 500 is a general rule. We have multiple locations on the property allowing for varying sized groups. The Terraced Lawn on the back of the Ranch House allows for a more intimate setting for anywhere between 50 – 150 people, while the Willow Pond can comfortably handle anywhere from 100 – 800, depending on placement.  Please refer to our Event Spaces page for more detail on the various venues available to you.

How many people can the barn accommodate?

Our vintage wood barn can accommodate 150-200 people depending on types of tables used and space left for a dj, buffet tables, and/or a dance floor inside the barn.

We also now have the stables barn available to host events and weekend activities. This unique and memorable space can accommodate up to 250 guests for inside ceremonies, cocktail hours or rehearsal dinners.

Where should our additional out of town guests stay?

We have partnered with The Dolphin Bay Resort in Shell Beach, (8.5 miles from ranch - 11 minutes) to offer a special rate to our wedding guests. Our Director of Events will be happy to share the corporate code with you following your reservation with us.

Can I add additional nights to the vacation rental homes?

Absolutely! We would love for you to spend the week of your wedding with us and partake of this authentic California ranch experience. Please let our Diirector of Events know you are interested and a special rate will be available to you as our wedding guest.

In addition to this, we would love for you to come stay with us prior to your wedding weekend.  Enjoy the Central Coast, explore the property, let us set up some local wine tastings, and get an authentic feel of what your Wedding Weekend will be like.

Can we host other events on the property?

We would love for you to hold other events on-site. Welcome meet-n-greet, rehearsal dinner or send-off brunch* can be held at any of our locations on-site.  Please inform us of your full weekend itinery prior to your stay, so we can plan accordingly to accommodate you in the best way possible. Greengate does require that any event with 50 guests or more is coordinated by your wedding planner. All matters of rentals, vendor logistics and parking must be arranged and facilitated by your coordinator.  In addition, any event outside of your wedding day that exceeds 100 guests will be subject to our Additional Event Fee, which can be found listed in our Wedding Weekend Offerings information.

These basics provide a solid start to your wedding day while cutting cost from your rental order.  We do not provide chairs, linen or table top elements, as these are handled through your coordinator or caterer.  Our Preferred Vendor List provides local sources for all of the additions that you may need.

Coordinator, caterer & other vendor requirements?

Our Preferred Vendor List is provided for you and is a good resource to build an awesome and trustworthy team of local vendors. We strongly recommend these vendors as we feel confident they will provide excellent service and care the day of your wedding.  We do operate with a closed catering list, meaning your caterer must be chosen from this list. We have put together a list that varies both in offerings and budget.  All of our caterers are happy to share menus and price estimates with you so that you can make a choice that meets your needs.

 

An independant planner for your wedding weekend is required.  This ensures your wedding day runs smoothly and your desires are followed.  We recommend that a full-service coordinator or planner is hired to assist you in the whole planning process.  Our property is vast and there are many logistics to consider. Someone familiar with the property will be able navigate your plans very well.  In addition to your wedding day festivities, any other event on property with 50 or more guests must also have your coordinator involved.  We are happy to provide logistical support, recommendations and assistance with any facility matters.

 

You are welcome to choose vendors not on our preferred vendor list, but all must be approved and have met all applicable requirements prior to your event (signed vendor agreement, insurance, ServSafe certificate & vendor orientation).  We are happy to make these arrangements and coordinate all of the requirements with your vendors. We also recommend you share the requirements with your vendors prior to hiring them, ensuring that they understand the requirements of working at Greengate Ranch & Vineyard.  Our vendor agreements are avalable to you to share with the vendors you are considering hiring.  If you are planning to hire someone that is not on our Preferred Vendor List - please make sure they know what is required, prior to signing a contract with them.  We will not be held financially responsible for vendors that have been hired that do not meet the outlined requirements.

 

We do respectfully maintain the right to refuse the service of any vendor not meeting our requirements.  If you have any questions regarding vendors at all, please discuss this with us prior to hiring.

Is there a noise curfew?

Greengate is subject to the San Luis Obispo County sound ordinance which requires all outdoor amplified sound, including DJ and live music, to be off by 10:00 pm. This rule applies to the homes on property as well. We recommend that your formal wedding day come to an end at 10:00 pm, with a small casual after party to follow at one of the homes on property.

Do you set up and break down the wedding?

Even though we do provide tables and other event equipment for your use, Greengate Ranch & Vineyard does not set up or break down for your wedding. Set up and break down of any of our items is the responsibility of your coordinator and/or your caterer. The re-storage of these items is outlined in our required vendor agreements with both your coordinator and caterer. Photos of how your coordinator and/or caterer should store Greengate equipment can be found in the events area prep garages. Greengate-owned items are for use in the event area only (Vintage Barn, Courtyard & Grand Lawn areas). If you are using one of the other areas on property, rentals will be needed and can be arranged with one of our preferred rental companies.

Is security required?

Any wedding with a guest count exceeding 300 people must provide adequate security for safety reasons. This will be at the guest's expense. We are more than happy to help schedule security services with our preferred security company. Please let us know in advance if you would like us to do so.

Can I bring my pet?

Pets are allowed in the guest homes for an additional non-refundable pet deposit per pet for each home that the pet is in.  All pets must be approved in advance.  Please note:  In the interest of your pet’s safety, we do require that they be on leash at all times, directly supervised (ie. not tied up somewhere) and cleaned up after. Please keep in mind this is a working ranch with horses, other dogs and operating machinery.

What is nearby?

One of the really convenient perks about the ranch - it is located exactly 5 minutes from the San Luis Obispo Airport, 10 minutes from the beaches (Avila, Shell & Pismo), 10 minutes to down town San Luis Obispo, and 10 minutes to the charming village of Arroyo Grande. Candles, confetti, sparklers & more?
  • Candles are allowable. We simply require that they are installed in accordance with the county fire code which requires all flames to be enclosed in glass and 1 inch below the top surface of the glass container.
  • Confetti, biodegradable or not, is prohibited from all areas of the property.  Any labor or additional cost associated with clean up of decorations or accessories not authorized and approved by Greengate management will be passed on to the named party on the agreement.
  • Sparklers are strickly prohibited on the property due to the nature of the ranch setting.
  • Hay bales are prohibited due to additional clean up costs.
  • Please also note: As written on our Venue Rules page and in the Catering Agreement, no events shall utilize disposable plates, utensils, or glasses on Greengate property, unless approved ahead of time in writing by Greengate and the respective Caterer and/or Coordinator.

If you have any questions about any decor items, please check with us prior to your weekend - we never want to disappoint you by prohibiting your plans.

 

May I serve hard alcohol and bring my own wine?

Since we are not a winery, you may supply your own alcohol! Any beer, wine and liquor must be served by a licensed bartender and/or caterer. We ask that last call occur at least 30 minutes before the scheduled end of the event for safety and liability purposes.

 

If you are interested in serving wine from the Edna Valley - please talk with us and we can make recommendations to many of our incredible winery neighbors, who will offer you an industry discount on any cases purchased for your wedding day.

What is the smoking policy?

This is a no smoking property.  There is absolutely no smoking in any of the buildings on property.  If you know you have guests that smoke, we will work with you on setting up a designated, outdoor smoking area.  Please ask us about the designation of an approved outdoor smoking area. 

The violation of this policy in any of our buildings or in a non-approved designated smoking area jeapordizes the return of your security deposit following your event. It is your responsibility to inform guests of this policy.

Can my guests leave their cars at the ranch overnight?

Cars may be left overnight in designated parking areas, including the Parking Pasture and the designated parking areas at each of the homes. They must be moved by 10:00 am the morning after your event. Any vehicles left on site past the following day of the event will be towed at the owners expense. When can I set up for my wedding?

We allow your rental companies to deliver your event rentals upon your check-in to Greengate Ranch & Vineyard and anytime after leading up to wedding day. You also have access to the event space upon your check-in and have the ability to set up any decor inside the barn at that time. The event area is accessable during business hours on the days outside your wedding day, and from 9:00 am to 11:00 pm on your wedding day.

All items (personal, rental, decor, tables, chairs, etc.) must be taken down the night of your event, before 11:00 pm and stored accordingly. We do not allow any of our Greengate-owned event equipment to be set up outside overnight.  In addition to this, we do not allow any equipment whatsoever to remain on any of our lawn areas overnight - we love our lawns and work incredibly hard to keep them in perfect condition for event purposes. This includes chairs, tables, arches, trailers, and any other equipment or decor.  If you or your planner have any questions regarding event area access or equipment storage, please contact our Director of Events.

When can I have access to the barn and event spaces?

Your vendors will have access to the barn and other areas of the property from 9 am - 11 pm the day of your event, unless otherwise arranged with our Events Manager.  There is no accesss to the barn or storage garage after 11 pm the night of your wedding, unless otherwise arranged with our Events Manager.  This excludes access for rental companies picking up equipment post-event. 

Please reference your event contract, there is a plethora of important information in your contract and your access to the event spaces is outlined on the first page.  If you need to arrange for early access please ask our Events Manager and we will schedule access, based on availability.

Can I leave d├ęcor, rentals, tables chairs etc in the barn after my event?

No, we require all items be removed from the barn and/or prep garages by 11:00 pm the night of the event. There are exceptions to this when there are rental companies picking up rental items on a different date than the event date. In this case, items can be stored in the event garage for rental pick-up. If you have any questions surrounding this, please ask our Director of Events. We want to make sure everything is squared away well in advance of your weekend with us, to ensure your Wedding Weekend runs as smoothly as possible for you and all of your vendors!

Are there additional fees or expenses?

We've done our best to make expenses simple for you by including basic amenities that we know you'll need, such as tables and event signage (please see the complete list of inclusions in our Wedding Offerings - PDF downloadable by request through our contact page).  We do not charge a service fee, corkage fee, clean up fee or cake cutting fee.

A day-of liability insurance is required, naming Greengate Ranch & Vineyard, LLC and Greengate Farms SLO, LLC as additionally insured. Often this can be obtained through your home owner's policy. Policies are also available through Cover My Events or Wed Safe. Generally, this cost is between $150 to $300.  If you have any questions, don't hesitate to ask.

In addition, any event outside of your wedding day that exceeds 100 guests will be subject to our Additional Event Fee, which can be found listed in our Wedding Weekend Offerings information.  This goes to cover additional Greengate staffing, cleaning, parking, and excessive event space use.  

Any additonal services arranged at your request by GGR&V, such as wine tours, massages or personal chef services would incur associated costs.

 

While this is not an additional fee or expense, please note that we do require a credit card preauthorization for your security deposit upon arrival for your wedding weekend.  We do not charge any amount to your card unless damages are incurred during your stay.  The security deposit preauthorization is broken down as: $2,000 for the events space (per event day), $1,500 for the Ranch House, $500 for the Vineyard Cottage, and $500 for the Carriage House.
